Cancellation Policy

Please read this policy carefully before making your booking. By completing your purchase, you acknowledge and agree to these cancellation terms.

1. General Cancellation Terms

Cancellations must be submitted in writing via email to [email protected]. The cancellation date is determined by when we receive your written request, not when you mail it.

2. Refund Schedule

30+ Days Before Event

Full Refund (100%) - Cancel 30 or more days before January 20, 2026, and receive a complete refund of all fees paid.

15-29 Days Before Event

Partial Refund (50%) - Cancel 15-29 days before the event and receive a 50% refund. This covers non-recoverable vendor costs.

Less Than 15 Days Before Event

No Refund - Cancellations within 15 days of the event are non-refundable. At this point, all vendor commitments are final.

3. Refund Processing

3.1 Timeline: Approved refunds will be processed within 10-14 business days of receiving your cancellation request.

3.2 Method: Refunds will be issued to the original payment method used for the booking.

3.3 Processing Fees: Credit card processing fees are non-refundable.

4. Event Cancellation by Panama Kosher Fest

If Panama Kosher Fest cancels the event for any reason:

  • You will receive a full refund (100%) of all fees paid
  • Refunds will be processed within 30 days
  • We are not responsible for non-refundable third-party costs (personal flights, additional hotel nights, etc.)

5. Modifications to Bookings

5.1 Name Changes: Name changes for attendees are allowed up to 7 days before the event at no charge. Contact us with the updated information.

5.2 Package Upgrades: You may upgrade your package (e.g., from Hotel Package to Complete Package) at any time before the event by paying the difference.

5.3 Package Downgrades: Downgrading packages may be subject to cancellation fees based on the time frame.

6. No-Shows

Failure to attend the event without prior cancellation will result in forfeiture of all fees paid. No refunds will be issued for no-shows.

7. Force Majeure

In the event of circumstances beyond our control (natural disasters, pandemics, government restrictions, etc.), we will work with attendees to provide the best possible solution, which may include:

  • Rescheduling the event
  • Offering credit toward future events
  • Partial or full refunds based on recoverable costs

8. Hotel and Flight Cancellations

8.1 Hotels: Hotel cancellations are subject to individual hotel policies. We will assist with coordination, but hotel-specific policies apply.

8.2 Flights: Flight cancellations are subject to airline policies. Group flight bookings may have different cancellation terms than individual bookings.

9. Travel Insurance

We strongly recommend purchasing travel insurance to protect your investment. Travel insurance can cover cancellations due to illness, family emergencies, and other unforeseen circumstances not covered by our cancellation policy.

10. How to Cancel

To cancel your booking:

  1. Send an email to [email protected]
  2. Include your booking reference number
  3. Include the names of all attendees
  4. State your reason for cancellation (optional but helpful)
  5. Wait for confirmation email acknowledging your cancellation request

  • December 21, 2025: Last day for full refund (30 days before event)
